When WhatsApp ops need a client portal
Chat can run early delivery. A portal becomes useful when you need a login, a record and a status a stranger can trust.
WhatsApp is a good operations tool until the thread is the product. If the customer’s only proof of work is a chat history, you will lose the plot the first time a phone is replaced or a staff member leaves. A portal is not a nicer chat. It is a place where the job has a stable record.

Take a small fit-out contractor who currently sends photos and invoices in WhatsApp. That works for three active jobs. At twelve jobs it fails in predictable ways: nobody knows which quote was approved, a photo lives in the wrong thread, and the client asks for status that only one person can answer. The first portal does not need a social feed. It needs a job, a status, and a file the client can open without asking.

Write the states before the screens. A job might be quoted, approved, in progress, blocked or complete. Decide who may change each state — the contractor, a site lead, the client. A WhatsApp voice note is not a state change. If approval matters, it belongs on the record, with a time and an actor, even if the contractor still pings the client on WhatsApp to look at the portal.

Keep chat for conversation and the portal for facts. Do not try to rebuild WhatsApp inside the app on day one. Link to the job from the message. If a file must survive, store it on the job, not in the camera roll of the person who happened to be on site. If a client should not see internal notes, that is a permission rule, not a hidden chat.

Test the handoff. Create two client accounts and confirm neither can open the other’s job by guessing a URL. Ask a client to find yesterday’s approved quote without calling. If they cannot, the portal is not yet doing the job that chat failed at.

For the pilot, count jobs that reach a clear status without a status-chasing call, and count files that are still findable a week later. If those numbers do not move, you have added a login in front of the same chaos. Expand messaging, payments or scheduling only after the record is trusted.
